In a discussion with HT Lifestyle, Dr. Rajiv Mehta, Vice-Chairperson of Psychiatry at Sir Ganga Ram Hospital, offered an insightful analysis of to-do lists, addressing when they may become burdensome and how to construct realistic and manageable lists.
Expectations from To Do lists

There are inherent expectations associated with these widely used to-do lists. In the pursuit of streamlining and organizing daily activities to enhance productivity, individuals often impose significant expectations on these lists.
Dr. Rajiv Mehta elaborated on the motivations behind these checklists, stating, “Individuals create to-do lists driven by various expectations and perceived advantages. Primarily, these lists provide a sense of control and the promise of order in their lives. Documenting upcoming tasks fosters clarity, establishes priorities, and aids in time management. When tasks are written down, they can be divided into manageable steps, which reduces anxiety as they become more attainable. The lists assist in tracking progress and sharpening focus on productivity. Ultimately, a well-organized life and mind contribute to a greater sense of tranquility. Investing a moment in organization can save hours in execution.”
When To Do lists become a burden

We have all experienced the frustration of confronting an excessively lengthy to-do list. Rather than serving as a helpful tool to alleviate our workload and enhance our mental well-being, it often becomes a source of stress and guilt, particularly when we struggle to keep pace. Although a to-do list is intended to improve efficiency, this approach can be counterproductive.
Dr. Mehta highlighted the negative aspects of to-do lists, stating, “An unending list can be incredibly daunting. It fosters a feeling of ongoing failure, especially when individuals attempt to accomplish too much in too little time. This constant pressure leads to fatigue and a sense of being overwhelmed, ultimately resulting in chronic disappointment and a diminished self-image. Stress and guilt arise whenever there are delays or incomplete tasks. Overly lengthy lists can hinder action, resulting in procrastination. In individuals with obsessive tendencies, a to-do list may transform into an obsession, causing them to prioritize the list over their actual lives.”
How to make a realistic To Do list

Occasionally, it is necessary to reassess our approach, even regarding ambitious to-do lists that promise seamless productivity. However, this does not imply that one should abandon the practice of creating to-do lists altogether. They remain valuable tools for enhancing productivity, provided they are approached with balance.
Dr. Mehta advised, “The solution lies in adopting a balanced strategy. Document all tasks, regardless of their size, and then prioritize them thoughtfully, concentrating on what is both important and urgent. It is crucial to establish a realistic timeframe instead of assuming tasks can be completed in an instant. Breaking down overwhelming tasks into smaller, manageable components and delegating responsibilities is essential. Additionally, incorporating time for leisure into one’s schedule is vital for sustainable productivity. Maintaining flexibility and regularly revising to-do lists, whether at set intervals or as needed, is also important.”
